We may collect information about you in a variety of ways. The information we may collect includes:

Personal Data: Personally identifiable information, such as your name, church name, email address, and role, that you voluntarily give to us when you register with the Application.
Subscription & Payment Data: Your plan, subscription status, and transaction references. Payments are processed by our payment providers (Paystack and ExpressPay); we do not store full card details.
Device Data: A device identifier (device fingerprint) and a per-device security secret, used to authorise the Application, enforce device limits, and prevent abuse.
Audio and Transcripts: When using RheoCast's live detection features, audio from your selected microphone inputs is processed to generate transcripts. Depending on your device and plan, this processing may happen locally on your device, or be sent to our transcription provider (Deepgram) through our secure cloud infrastructure.
Derivative Content: Summaries, devotionals, and social media posts generated from your transcripts using our Creator Studio.
Usage Data: Information about your interactions with the Application, such as feature usage, crash reports, and performance metrics (via Google Analytics and Firebase), to help us improve the software.

Bible translations you import stay on your device. Translations you import into the desktop application are stored locally only; they are never uploaded to, synced with, or shared through our servers, and we do not receive their contents.

2. How We Use Your Information

Having accurate information about you permits us to provide you with a smooth, efficient, and customized experience. Specifically, we may use information collected about you to:

Create and manage your account and church profile.
Provide and bill subscriptions, and authorise your devices.
Process audio into text and extract scripture references in real-time.
Generate AI-assisted content (devotionals, summaries) based on your sermons.
Deliver and facilitate delivery of services to the Application.
Respond to customer service requests and support needs.
Detect and prevent fraud and abuse, and enforce our Terms.
Monitor and analyze usage and trends to improve your experience with the Application.

3. Disclosure of Your Information

We may share information we have collected about you in certain situations. Your information may be disclosed as follows:

Third-Party Service Providers: We share information with providers that perform services for us or on our behalf — including Deepgram (transcription), Google Firebase and Google Analytics (authentication, messaging, and analytics), and Paystack and ExpressPay (payments). They are permitted to use your information only as needed to provide those services.
By Law or to Protect Rights: If we believe the release of information about you is necessary to respond to legal process, to investigate or remedy potential violations of our policies, or to protect the rights, property, and safety of others.
Business Transfers: We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.

We do not sell your personal information.

4. Security of Your Information

We use administrative, technical, and physical security measures to help protect your personal information, including encrypted storage of authentication tokens and device secrets. While we have taken reasonable steps to secure the personal information you provide to us, please be aware that despite our efforts, no security measures are perfect or impenetrable, and no method of data transmission can be guaranteed against any interception or other type of misuse.

5. AI and Audio Processing

RheoCast uses artificial intelligence to provide transcription, scripture detection, and Creator Studio features. If you use cloud-based transcription or content generation, your audio and transcripts are transmitted securely to our infrastructure and trusted service providers (such as Deepgram for transcription). We do not use your audio data to train our own models, and we configure integrations to opt out of data training where available. Because audio captured during a service may include the voices of others present, you are responsible for any notice or consent required in your context. For maximum privacy, use local processing modes where your plan and device support them.

6. International Data Transfers

We operate from Ghana and use service providers located in other countries, so your information may be processed outside your country of residence. Where required, we take steps to ensure your information receives an adequate level of protection.

We retain personal data for as long as your account is active and as needed to provide the Service, comply with our legal and billing obligations, resolve disputes, and enforce our agreements. Transcription audio is processed to generate text and is not retained for model training.
